Privacy Policy — TrackItSimple

1. Who We Are

TrackItSimple is a field operations and asset management platform operated from Saugerties, New York (Ulster County). We provide software to companies that manage field installation teams. References to “TrackItSimple,” “we,” “us,” or “our” in this policy refer to the operators of this service. Questions can be directed to johnmiannelli@gmail.com.

2. Information We Collect

We collect information you provide directly and information generated through use of the platform:

Account information: name, email address, role (admin, manager, or employee).
Location data: GPS coordinates captured at the time of a field installation to verify and record where an asset was installed. Location is only captured when an installer actively records an install.
Photos: installation photos taken by field employees and uploaded to document completed work.
Digital signatures: on-screen signatures collected from store personnel to confirm installation completion, when enabled for a job.
Time logs: the duration of each installation, recorded automatically when a field employee completes an install record.
Notes: text notes entered by installers to document conditions, issues, or observations at a location.
Device and usage data: browser type, operating system, and general usage patterns for the purpose of maintaining and improving the platform.

3. How We Use Your Information

To operate the platform and provide the services your employer or organization has contracted for.
To generate job reports delivered to your organization's clients.
To provide an audit trail of all actions taken within the platform.
To troubleshoot technical issues and improve the service.
To send transactional emails (automated reports, daily schedules) that have been explicitly configured by an administrator.

We do not sell your personal information to third parties. We do not use your data for advertising purposes.

4. Data Storage and Security

All data is stored on Supabase, a cloud database platform with industry-standard encryption at rest and in transit (TLS/SSL). Photos and signature images are stored in Supabase Storage (S3-compatible cloud object storage). Access to data is controlled by role-based permissions — employees can only access data relevant to their assigned jobs.

5. Who Can Access Your Data

Admins and managers of your organization can view all data for jobs they manage.
Employees can view their own assigned jobs and their own install history.
Clients may access a read-only portal showing installation reports for their jobs.
TrackItSimple operators may access data for support and maintenance purposes only.

6. Data Retention

Data is retained for as long as your organization's account is active. Upon account termination, data may be retained for up to 90 days before permanent deletion, unless a shorter period is requested. To request deletion of your data, contact us at johnmiannelli@gmail.com.

7. Third-Party Services

TrackItSimple uses the following third-party services to operate:

Supabase — database, authentication, and file storage.
Resend — transactional email delivery.
Vercel — application hosting and deployment.
OpenStreetMap / Nominatim — map tiles and address geocoding (no personal data is transmitted to this service beyond the store address being searched).
Google Maps — linked for turn-by-turn navigation from installer devices (opens externally; no data is shared beyond the destination address).

8. Your Rights

Depending on your location, you may have rights regarding your personal data including the right to access, correct, or delete it. To exercise any of these rights, contact us at johnmiannelli@gmail.com. We will respond within 30 days.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify account administrators of material changes by email. Continued use of the platform after changes constitutes acceptance of the updated policy.
